  • Overview

    We're looking for an Admin II to support our Energy Services group, based out of our corporate Philadelphia headquarters. The successful candidate will work alongside Philadelphia staff, but be also responsible for the Administrative needs for Energy Services staff in other McCormick Taylor offices. We are looking for someone comfortable with supporting and communicating with staff from a distance; it is crucial for this role!


    The ideal candidate will have previous experience supporting a large group with a variety of different tasks; including scheduling, invoice/contract tracking, resource planning, etc.. We are looking for an individual who enjoys working in a fast-paced environment, to be challenged, and values the opportunity to make a difference through support of an energetic team.




    • General clerical duties to include scanning, mailing, printing, binding, faxing, and filing
    • Assists receptionist when necessary, requires operation of multi-line phone system as well as overhead paging
    • Excellent customer service skills, including greeting guests and answering inquiries about the company
    • Calendar maintenance and scheduling
    • Mailing/Shipment coordination
    • Meeting/Event coordination of conference rooms, food and beverage orders, itineraries, etc.
    • Organizes and plans travel for staff meetings, events, conferences, trainings; and records for accounting purposes
    • Tracking of equipment (PPE, etc.) and materials (Water Quality meters, GPS Units, etc.)

    Project Management

    • Assist Project Managers with data input/spreadsheet updates, compiling progress reports for specific tasks as needed
      • Resource Planning, Overhead Tracking
      • Project Accruals/Forecasting
      • Budget Tracking and Analysis
      • Invoice coordination, preparation, submittal, approval, & receipt
      • Contract review, coordination, and project initiation
    • Special projects, research and other duties as assigned
    • Sub contractor coordination for monthly reportable hours, invoices, etc.
    • SharePoint Administration

        Contracts & Accounting

    • Excellent customer service skills, including client coordination for submittal, tracking and receipt of invoices
    • Timesheet coordination of staff, including those in satellite offices
    • Check request coordination, tracking, receipt, and accounting
    • Monthly accounting processing including expense reports, company credit card recaps, etc.
    • Monthly contractual reporting of Key Performance Indicators (MBE/DBE usage, accrual accuracy, etc.)
    • Monitor accounts receivable and proactively request information from Project Managers and client contacts to document progress and assist in resolving outstanding payment issues. 
    • Maintain full awareness of project financial health. Using various reports, as well as management activities during invoice preparation and timesheet entry, monitor the group projects’ financial status.


    • Self-Starter, able to work effectively both independently or as part of a team
    • Strong organizational, communication and problem-solving skills
    • Highly analytical with an attention to detail
    • Excellent time management skills with ability to juggle multiple priorities
    • Knowledge of commonly used concepts, practices and procedures within a particular field
    • 4-7 years of experience
    • Associate’s or Bachelor’s degree preferred
    • Advanced knowledge of Microsoft Word and Microsoft Excel
    • Knowledge of SharePoint Administration (or interest in learning) a plus
    • Knowledge of Deltek Vision a plus
